Hospital Policies & Procedures

No Show and Cancellation Policy for Wellness and Sick Appointments

We know that the unexpected can happen. However, to ensure that we can serve all our patients, we kindly request that all cancellations and rescheduled appointment requests be made at least 24 hours in advance of your appointment time.

  • No Show Policy:
    • If you fail to cancel or reschedule your appointment and do not show up, you will be required to put down a non-refundable exam deposit for all future appointments.
  • Late Arrivals:
    • Clients who arrive more than 10 minutes late will need to reschedule so we can maintain timely care for all our patients. If a deposit was made for that visit, that deposit is forfeited.

New Clients

All new patient records will need to be reviewed by Dr. Woodrell prior to scheduling. A $40 deposit for each pet is required to schedule a new client pet exam.

Surgery and Dental Policies

Please drop off your pet at 8:00 AM on the day of the procedure and arrive on time, as we have limited availability on surgery days and our medical team schedules procedures carefully throughout the morning.

To reserve your pet’s surgery or dental procedure, a $150 deposit is required at the time of booking. This deposit secures your pet’s procedure date and allows us to dedicate the necessary time and medical staff for their care. If you need to cancel or reschedule your pet’s procedure, we kindly ask that you provide at least 7 days notice. Appointments canceled with less than 7 days notice, or missed procedure appointments, will result in forfeiture of the $150 deposit. A new deposit will be required to schedule another procedure appointment.

We appreciate your understanding and cooperation as we work to provide safe and timely care for all of our patients.

Payment and Financial Policies

Payment is due at the time of service. We accept the following forms of payment:

  • Debit cards
  • All Major Credit Cards
  • Cash/checks

If you have any questions about services or costs, our front desk team will be happy to assist you

Rabies Vaccination Requirement

To protect all pets, staff, and visitors, a current rabies vaccination is required for all elective procedures. In compliance with New Haven County regulations, all dogs and cats over three months of age must be vaccinated against rabies. If your pet is due, please let us know at the time of scheduling.

How to Request Medication Refills

At Middlebury Animal Hospital and Rehabilitation, we are continuously working to provide the best care for your pets. To ensure we maintain a smooth and efficient process for managing prescription medications, we require a minimum of 48 hours to fill all prescription medications, refills on medications, or written prescriptions.

You can request prescription refills through any of the following options:

  • By Phone: Call 203-758-1708 and select option 1 to leave a message.
  • Patient Portal: Visit Client Portal, sign in using your phone number, select your pet, and submit a prescription refill request.
  • Online Pharmacy: Visit our Online Pharmacy. Register using the email address and phone number associated with your hospital account. You can then select your pet’s medication and submit a request directly through the pharmacy. Your request is sent to our hospital through a secure pharmacy portal for veterinary review and approval. Once approved, the prescription can be processed through the online pharmacy.

Please note that submitting a request does not guarantee approval. All requests are subject to veterinary review, and the 48-hour processing window allows our team time to review and respond.

Prescription Diets

We keep a limited selection of prescription diets on hand to help patients get started on a newly recommended diet. However, we do not routinely stock prescription diets for ongoing refills, so these will need to be ordered in advance.

You can order prescription diets through our online pharmacy for convenient home delivery. If you prefer to have your pet’s diet ordered through our hospital, please call our prescription refill line at 203-758-1708, option 1. We place diet orders once a week, so we recommend contacting us when you have about two weeks of food remaining to help ensure your pet’s next order arrives in time.

Our team is always happy to help!

Written Prescriptions for Outside Pharmacies

If you prefer to purchase your pet’s medication from an outside pharmacy please contact our hospital to request a written prescription.

Written prescriptions must be picked up in person at the hospital. We are unable to fax or email written prescriptions to outside pharmacies.

Please allow a minimum of 48 hours for written prescription requests to be processed. Veterinary approval is required before a prescription can be issued.

Safety and Courtesy

For everyone’s safety, all pets must be on a leash or in a secure carrier while inside the clinic. This helps us maintain a calm and safe environment for all patients. The leash should not be retractable or stretchy in any way and no longer than 6’ in length.

Drop-Off Wellness & Sick Appointment Policy

Drop-off appointments are available on a limited, approval-only basis for existing Middlebury Animal Hospital and Rehabilitation clients. Pets must have been seen within the past year and be current on rabies vaccination. Drop-offs are scheduled between 8:00 AM and 8:30 AM and late arrivals may result in forfeiture of the appointment. Pets with aggressive or high-stress behaviors are not eligible. Clients must sign a drop-off consent and treatment estimate at check-in and remain reachable by phone throughout the day, as no additional services will be performed without approval. Most pets are ready for pickup between 2:00–4:00 PM, payment is due at pickup, and pets not picked up by 5:00 PM may incur hospitalization charges per clinic policy.
